Privacy Policy

This Privacy Policy describes how Sales Agent LLC ("we," "us," or "our"), doing business as LeadScout360, collects, uses, and shares information when you visit leadscout360.com or use our services.

Information we collect

We may collect the following types of information:

• Account information. Business name, email address, and password when you create an account through Supabase Auth.
• Business information. The postal address you store for commercial email footers, and similar outreach configuration.
• RefinedLeads.ai credentials. The API key you paste or that we receive when you connect RefinedLeads.ai. We store the key so we can pull leads. After save, the dashboard shows only a short hint, not the full key.
• Lead data. Contact and listing fields pulled from RefinedLeads.ai or uploaded by you from a csv or xlsx spreadsheet, including names, emails, phone numbers, addresses, listing status, and related listing fields. Listing status includes pending, contingent, active, and coming soon. A property record may also include related listing contacts (for example an agent or broker) that arrive with the pull. Those contacts are stored with the lead even when they are not the person you email.
• Uploaded sheets. The csv or xlsx files you upload, and the contact and listing fields parsed from those files. We store those records as lead data in your account.
• Gmail connection. The connected mailbox address and Nylas grant identifier when you connect Gmail. We do not read, list, search, or modify Gmail messages. Connecting Gmail does not give us access to inbox contents.
• Email you send. Recipients, subject, body, send status, and provider message identifiers. We use these records to deliver mail, skip already-sent inboxes, and honor opt-outs.
• Opt-out records. Email addresses added to your suppression list when a recipient confirms unsubscribe, or when you mark someone opted out.
• Usage data. Log data about requests to the Services.

How we use information

We use the information we collect to:

• Provide, maintain, and improve our services
• Pull homeowner listing leads from RefinedLeads.ai on a schedule and when you request a sync, and store leads you upload from a csv or xlsx spreadsheet
• Send email you compose from your connected Gmail inbox on your behalf. We do not read or access the contents of that inbox.
• Skip inboxes that already have a queued, sending, or sent message
• Honor confirmed unsubscribes and other suppression records
• Communicate with you about your account and support requests
• Comply with legal obligations

How we share information

We do not sell your personal information. We may share information with service providers who help us operate the platform, when required by law, or with your consent. Those providers include:

• Supabase, for authentication and the database that stores account, lead, and send data
• Nylas and Google, to connect Gmail and send mail from your mailbox. We only request the send-mail scope gmail.send. We do not request gmail.readonly or gmail.modify.
• RefinedLeads.ai, when we call their API with the key you provided to pull leads
• Our hosting providers
• Error monitoring, which may run when configured

The Services do not include SMS or voice outreach. We do not share information with SMS or voice vendors as part of the product.

Cookies

We use cookies that are needed to run the Services. These include session cookies for sign-in, short-lived cookies that protect Gmail and RefinedLeads.ai connect flows, and a preference cookie that remembers sidebar state. We do not use advertising cookies or analytics pixels.

Unsubscribe links

Email we send for you includes an unsubscribe link. Opening that link shows a confirmation page and does not complete the opt-out. Opt-out happens when the recipient confirms. We then record the address on your suppression list and mark matching leads as opted out so they are not emailed again from the Services.

Data retention

We retain account data for as long as your account is active or as needed to provide services. Lead records may leave the listing boxes when listing status changes. Opt-out records stay so we do not email an address that already confirmed unsubscribe. You may request deletion of your account data by contacting us.

Security

We implement reasonable technical and organizational measures to protect your information. No method of transmission over the Internet is 100% secure. The RefinedLeads.ai API key is stored so scheduled and on-demand pulls can run. Treat that key as a secret and disconnect it if it is exposed.

Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict use of your personal information. Contact us to exercise these rights.
